Equine Veterinary Office Assistant / Veterinary Assistant
Position Summary
Full Circle Equine Veterinary Services is seeking a highly organized, detail-oriented, and motivated Equine Veterinary Office Assistant / Veterinary Assistant to join our equine practice. This position is primarily focused on office administration and inventory management (approximately 4 days per week), with one day per week dedicated to providing field support to veterinarians during farm calls. The ideal candidate will be comfortable working in an office environment while also enjoying hands on involvement with horses and veterinary procedures. This is a new position to meet the growing needs of our practice, with an anticipated start date of mid-August (with flexibility for the right candidate). Schedule
– Full-time position, consisting of approximately 4 days per week in office and 1 day per week providing field support to veterinarians
– Flexibility may be required based on clinic needs
– This is primarily an in-person position, however occasional remote work may be negotiated after a period of 6 months depending on clinic needs
Primary Responsibilities – Office Administration (4 Days/Week)
Inventory Management
– Order veterinary supplies, medications, and office inventory
– Receive, unpack, and organize incoming shipments
– Monitor inventory usage and reorder supplies as needed
– Manage client medication requests and prescription preparation
– Manage controlled drug inventory in compliance with regulatory requirements
– Perform regular inventory counts and reconciliation
– Prepare veterinarian approved medications in accordance with clinic protocols
Accounts Receivable & Client Services
– Process client payments and maintain payment records
– Monitor outstanding accounts and accounts receivable
– Contact clients regarding overdue invoices and payment arrangements -in a professional and respectful manner
– Assist with invoicing and billing inquiries
– Provide excellent customer service via phone, email, and in person
Administrative Support
– Maintain accurate electronic and paper records
– Process laboratory submissions and track results
– Upload and organize diagnostic images and medical records
– Assist with answering phones, scheduling and appointment coordination
– Support veterinarians with administrative and practice management tasks
– Maintain office organization and cleanliness
Veterinary Assistant Responsibilities (1 Day/Week)
– Organize and prepare the veterinary truck with required equipment and supplies
– Assist with vehicle upkeep, cleaning, and restocking
– Drive to and from scheduled appointments when required
– Assist the veterinarian with invoicing and record keeping during appointments
– Set up and maintain veterinary equipment (ultrasound, x-ray, dental equipment)
– Assist during examinations and procedures, including safe handling and restraint
– Lunge and jog horses in hand as part of lameness and performance evaluations
– Maintain a professional and safety-focused approach around horses and clients
Qualifications
– Preferred education in Bachelor of Bio Resource Management, equine studies, or veterinary technician training (RVT)
– Valid Ontario driver’s license without restrictions (driving abstracts will be requested)
– Confident and experienced with handling horses
Desired Attributes
– Experience in office administration, inventory management, bookkeeping, or veterinary administration is preferred
– Previous veterinary assistant or equine industry experience is preferred
– Strong organizational, time management, and multitasking abilities
– Excellent communication and customer service skills
– Comfortable working both independently and as part of a team
– Proficient with computers and common office software
– Ability to lift/move heavy equipment up to 50 lbs
– Detail-oriented and dependable
– Self-motivated with strong problem-solving skills
– Ability to prioritize tasks in a fast-paced environment
– Commitment to maintaining confidentiality and professionalism

Compensation to be negotiated based on qualifications and experience.
